Staff hours and leave, tracked in the same system as the till

How many hours a staff member actually worked and how much leave they have left are usually tracked in two completely different places - a till or clock-in system for one, a WhatsApp message or a paper form for the other. Neither system knows what the other is doing, which means a manager approving a leave request has no easy way to check it against who else is already scheduled off, or against that staff member's actual attendance record.

What sits together instead

  • Shift hours and active-shift tracking, generated from the till itself rather than a separate clock-in device
  • Leave requests submitted by staff directly in the app, instead of a message to a manager's phone
  • Approval or decline handled by the owner or admin in the same console used for everything else
  • A running leave balance per staff member, so approving a request doesn't require reconstructing how many days they've already taken

Why this matters more with more than one store

One store with three staff can run leave off memory and a group chat. A multi-store operator managing staff across several locations can't - a leave request needs to be checked against who else is scheduled, and an owner needs to see it without phoning each store to ask. Keeping shift hours and leave in the same console as everything else means that check takes seconds instead of a round of messages.

It also means the shift and cash-up reporting a store already relies on for reconciliation is working off the same staff records as leave and hours - one source of truth for who was actually on shift, rather than a till log and a leave spreadsheet that can quietly drift apart.
