When a cannabis store also sells to other stores

Retail and wholesale are different transactions wearing the same catalogue. A retail sale rings through a till to a walk-in customer. A wholesale sale goes to a business buying in bulk, at a different price, on terms, with an invoice rather than a receipt - and not every bulk buyer places that order inside a consumer-facing app.

What a wholesale sale actually needs

  • Professional invoices generated and sent to a client who ordered outside the app entirely - by phone, by WhatsApp, in person
  • Invoice status tracked draft to paid, so an unpaid wholesale account doesn't get lost in a chat thread
  • Wholesale pricing that sits apart from retail pricing, without duplicating the product catalogue
  • The same stock, vendor, and consignment records a retail sale already uses - a wholesale order still has to draw down the same shelf

Where this usually breaks down

The common failure mode is running wholesale on the side - a notebook, a separate spreadsheet, an invoice typed up in a word processor each time. None of that stock movement shows up in the same reporting as the till, which means a stock take or a cash-up reconciliation can't account for what actually left the building through a wholesale order versus a retail sale.

It's the same problem vendor consignment runs into when it's tracked outside the main system - a real, common part of how a cannabis business actually operates, treated as an afterthought because the core system wasn't built to handle it as a first-class case.

What it looks like handled properly

A wholesale order draws from the same stock the till sees, prices against a separate wholesale rate without a duplicate catalogue, and produces an invoice that's tracked the same way a report is - one system accounting for every way stock actually leaves a store, not just the till.
